How to Create States From Scratch

Learn how to create workflow states in Praxsuite step by step. This guide explains how to create status groups, define states, assign colors, and prepare them for use in tables, forms, and operational workflows.

States in Praxsuite represent workflow stages or statuses used to track the progress of records inside tables and forms.

Before a state can be used in a State column or a Form component, it must first be created inside a Status Group in Workspace Settings.

This guide explains how to create a new state from scratch.

Step 1 — Open Workspace Settings

From the main workspace interface, open Settings from the left navigation menu.

This opens the Workspace Settings page where administrative configuration options are located.

Step 2 — Navigate to the Status section

Inside Workspace Settings, click the Status tab.

The Status section is divided into two main areas:

Status Groups (left side)

Groups that organize related states.

Statuses (right side)

Individual states that belong to the selected group.

States must always belong to a group.

Step 3 — Create a Status Group

If you do not yet have a group for your workflow:

  1. Click Create Group

  2. Enter a Group name

  3. Click Save

Examples of group names include:

  • Ticket Status

  • Task Progress

  • Approval Workflow

  • Production Stage

  • Customer Lifecycle

Once created, the group appears in the Status Groups list.

Step 4 — Select the Status Group

Click the Status Group where you want to create the new state.

When selected:

  • The group becomes highlighted

  • Its states appear in the Statuses panel

  • The Create Status button becomes available

Step 5 — Click Create Status

In the Statuses panel, click Create Status.

A configuration window will appear allowing you to define the new state.

Step 6 — Define the State name

In the Status name field, enter the name of the state.

Examples include:

  • To Be Done

  • In Progress

  • Waiting Review

  • Approved

  • Completed

  • Archived

Choose a name that clearly represents a stage in the process.

Step 7 — Select a color

Each state can be assigned a color to improve visibility across the platform.

To set a color:

  1. Click the color box

  2. Choose a color using the picker

  3. Optionally enter a hexadecimal color value

Colors help visually distinguish workflow stages inside:

  • Tables

  • Forms

  • Dashboards

  • Workflows

Step 8 — Save the state

Click Save to create the new state.

The state will immediately appear in the Statuses list for the selected group.

Step 9 — Use the state in your system

Once created, the state can be used in:

  • State columns in Tables

  • State components in Forms

  • Operational workflows

  • Process tracking

  • Dashboards and reporting

Because states are defined at the workspace level, they can be reused across multiple elements.
