Using the Mailing feature for Mailig campaigns

Praxsuite allows you to send emails directly from your Workspace using your connected mailing provider. This feature is designed to help you communicate at scale, automate outreach, and personalize messages using your data.

This guide explains how to use the mailing feature and how each configuration helps you create tailored emails for different use cases.

Step 1: Open the Email Composer

From any table or dataset, select the rows you want to contact.

Then click the Email button at the bottom of the screen.

This will open the Compose Email panel.

Step 2: Select the outbound mailbox

At the top of the panel, choose the Outbound mailbox.

This corresponds to the mailing provider you previously configured (e.g., Microsoft Outlook or SendGrid).

👉 This defines who the email is sent from.

Step 3: Define recipients

In the To field, you can:

  • Manually enter email addresses

  • Or click Import selection to automatically pull emails from your table

When importing:

  • Praxsuite detects columns containing email addresses

  • You can choose which column to use (e.g., User email)

  • Only valid emails will be imported

👉 This is especially useful for bulk communication and campaigns.

Step 4: Use dynamic variables (personalization)

At the top of the composer, you’ll find Variables such as:

  • {User name}

  • {User email}

  • {Device ID number}

  • {Activation date}

You can insert these into:

  • Subject

  • Email body

👉 This allows you to create personalized emails at scale, for example:

“Hi {User name}, your device {Device ID number} was activated on {Activation date}.”

Each recipient will receive a customized version of the email.

Step 5: Write your email

Fill in:

Subject

Define the subject line of your email.

Email body

Write the message content.

You can combine static text with variables to create tailored communication.

Step 6: Add CC and BCC (optional)

You can optionally include:

  • CC → visible recipients

  • BCC → hidden recipients

👉 Useful for internal tracking, approvals, or compliance.

Step 7: Choose sending behavior

Send individual emails (toggle)

  • ON → Each recipient receives a separate email

  • OFF → All recipients are included in a single email

👉 Recommended:

  • ON → for personalized campaigns

  • OFF → for group/internal communication

Step 8: Configure delay between emails

You can control sending speed using:

  • Fixed delay → same interval between emails

  • Random delay → varies between a minimum and maximum

Example:

  • Minimum: 5s

  • Maximum: 15s

👉 This helps:

  • Avoid spam detection

  • Simulate human-like sending behavior

  • Improve deliverability in bulk campaigns

Step 9: Send the email

Once everything is configured:

  • Click Send

Praxsuite will process the emails according to your selected settings.

How to Use This for Different Use Cases

The mailing feature is flexible and can be adapted to different scenarios:

1. Sales campaigns

  • Import leads from a table

  • Use {User name} for personalization

  • Enable individual emails + delay

2. Operational notifications

  • Send alerts based on data (e.g., device status)

  • Use variables like {Device ID}

3. Customer follow-ups

  • Personalize emails using user data

  • Track communication centrally

4. Internal communication

  • Use group emails (toggle OFF)

  • Add CC/BCC for team visibility
